How it Works

Planning your event

Hosting a Cuppa event is easy, all you have to do is register by clicking the ‘Host a Cuppa’ button at the top of this page and complete the form and submit.

If you have any questions give us a call on 1800 432 785.

We also have a list of resources you can download to make your event a success, including invitations and posters.

Then simply send out invitations to friends, family and colleagues, inviting them to your Cuppa and asking them to make your event count even more to kids with heart disease by sponsoring your event with a donation!

Here are some helpful tips for before, during and after your Cuppa:

  • Register your details as a host
  • Create an online fundraising page or decide to collect cash at the event and bank in your funds by direct deposit
  • Decide on a theme and venue
  • Send invitations to friends, family, work colleagues
  • Plan your menu and shop for ingredients to make some delicious food (check out our celebrity recipes for ideas!)
  • Leave plenty of time to bake, or pick up your pre-ordered treats from your local bakery or patisserie.
  • Decorate your venue to make it feel festive. You can print posters from our Resources section if you like.
  • You can spice up your event by playing a few games and competitions like a mini trivia or baking competition!
  • Thank your guests for attending and helping to raise funds for HeartKids.
  • Enjoy the event and all the great work you have done to make it a success.
  • If you just used an online fundraising page you don’t need to worry about collecting money or the details of people who want a receipt.
  • If you decided to collect cash, return your funds using either the nominated address and/or bank account details that were sent to you on your registration confirmation email.
  • Please send us your photos so we can put them up on our website and Facebook page to inspire and encourage others to host their own Cuppa event, or you can post them yourself on our Facebook page.

Event hosting kit

Once you register to host a Cuppa event you can download all the elements you need to host a successful event.

The resources we provide include:

  • Awareness posters in A3 and A4
  • Promotional posters in A3 and A4
  • Posters showing how Your Cuppa Counts in A3 and A4
  • Invitations

These are all available on the Downloads page on this website except the Receipt forms. These are State specific and a link to the appropriate form is provided in your confirmation email.

If you are unable to print these materials, please contact your local HeartKids office and they will send you a Host Kit. Contact details for your State are also in the confirmation email you received when you registered.

Don’t forget the easiest way to manage donations is to set up an online fundraising page. Depending on which State you live in, please set up your online fundraising page as follows:

Fundraising Ideas

Here are some of the ideas that might help with planning your Cuppa for Heartkids event.

  • Host a girls’ night in – invite your best girlfriends over for a night of pampering. You can serve gourmet teas like Chai and Green tea and enjoy a night in together
  • Host a high tea with delicate finger sandwiches and cakes and a variety of teas for guests to enjoy. Ask guests to come dressed in high tea style clothing. Pearls for women and hats for men!
  • Talk to your local sports club about hosting a Cuppa event as part of their weekend sporting activity
  • Host a Cuppa event for your next mothers group or play group. Children can use our Cuppa colouring in pages available in our Resources section
  • Host a Cuppa event as a morning or afternoon tea at your workplace
  • Ask your company to dollar match the amount of money you raised from your tea party to raise extra funds
  • Have a red and blue “HeartKids Colours” day at your office and ask staff to provide a gold coin donation for dressing in these colours on the day
  • Ask your local bakery or patisserie to help with your event by donating food or providing food at a discounted price.
